Information TrackSentri processes

TrackSentri processes account and organization details, asset and device records, QR activity, audit history, time entries, and business-mileage records that an organization enables and its authorized users provide.

Location and business mileage

The mobile Time application may use precise and background location to verify clock events and calculate business mileage. Phone GPS mileage begins only after the employee clocks in and an active work-mileage session starts. It stops when the employee clocks out, the session is remotely closed, or the long-session safeguard pauses collection.

For a personal vehicle using private OBD mode, employer-facing mileage collection is active only in WORK mode. TrackSentri does not intentionally retain or expose personal trip routes or personal mileage while the employee is clocked out. Minimal device-health data may be processed where technically necessary.

AgSentri farm visitor check-in

When a visitor checks in at a farm using AgSentri, TrackSentri records the visitor's name, company, and reason for visit; the farm and entrance; the date and time; and one location reading from the visitor's phone, with its accuracy, taken when the visitor asks to verify their location. The location reading is used to confirm the visitor is at the farm entrance. Check-in is refused when the location cannot be verified inside the farm's boundary. AgSentri does not track a visitor's location before or after check-in.

Visit records belong to the company that operates the farm, for its biosecurity visitor log, for example to trace contacts during an animal disease investigation. That company's authorized staff can see them, along with the farm's grower once the company has approved the grower's access: a grower sees, for their own farm only, each visitor's name, company, reason for visit, entrance and time, but never the visitor's location or which other farms the visitor came from. TrackSentri stores them on the company's behalf, does not sell them, and does not share them with other companies. Authorized TrackSentri support staff can view a company's AgSentri records (its farms, visit records, badges and badge visits, employees and grower access), read-only, only to help that company when an issue arises. Support staff cannot change these records, and each time they view a company's records it is recorded in that company's audit log. To support downtime checks, AgSentri sets a random code in a cookie on the visitor's phone and stores only a one-way hash of it with each visit; this, or the same name and company, lets the operator see whether the visitor recently checked in at another of its farms. It is never matched across companies. The visitor's name and company are also saved in the phone's browser to fill in the form next time. Visit records are deleted two years after check-in. Visitors may contact the farm operator, or TrackSentri at the address below, to ask about access or correction.

Integrator staff may carry an AgSentri cellular badge that reports its location. TrackSentri uses those reports only to record when the badge enters and leaves the integrator's farms, linked to the person the integrator assigned it to; locations away from the integrator's farms are discarded and not stored. Badge farm visits are kept for two years after the visit, then deleted. The farm's approved grower can see badge visits at that farm: the badge holder's name and company and the entry and exit times.

An integrator can add its own employees for quick check-in. The integrator gives TrackSentri the employee's name, work email and company; the employee chooses a password, stored only as a one-way hash, from a one-time link. The employee's phone then stays signed in for up to 90 days through a cookie, and the employee's name and company fill in at that integrator's farm signs. Signing in never adds tracking: the location is still read only at check-in, as for any visitor. The integrator can turn an employee off at any time, which signs out every phone right away. Employee check-ins are kept and shared exactly like other visit records.

Growers who sign up for AgSentri grower access give their name, email address, an optional phone number, and a password, which is stored only as a one-way hash. The company that operates the farm sees the grower's name, email and phone with the access request. A company can also invite a grower: it gives TrackSentri the grower's name and email and chooses which of its farms they may see, and TrackSentri emails the grower a one-time link to choose their own password. A company never sees or sets a grower's password. A grower can delete their account at any time from the account page; this removes the login and all farm access.

How information is used

Information is used to provide the enabled TrackSentri modules, secure accounts, calculate work time and business mileage, maintain audit history, support exports, troubleshoot service reliability, and meet an organization's authorized operational requests.

Access and sharing

Company data is separated by organization and limited by assigned roles and module permissions. Authorized company supervisors may review work time, business mileage, and clock-event verification. Authorized TrackSentri support staff may view AgSentri farm, visit, badge and employee records, read-only, to provide support, and each view is recorded in the company's audit log. TrackSentri does not sell personal information.

Retention, correction, and access

The customer organization controls its operational records and user access. Supervisory corrections retain original values and reasons in audit history. Requests to access, correct, export, or delete information should be sent through the employer or to TrackSentri support, subject to contractual and legal retention requirements.

Security and updates

TrackSentri uses tenant-scoped access, protected sessions, hashed credentials and tokens, audit logging, and encrypted transport. This notice may be updated as the pilot and product evolve; the effective date above identifies the current version.
